Correct a closed pay run
Answer a voucher edit or rate correction that changes a closed pay statement by revising it, issuing a correction statement, or keeping it as is.
What you'll learn
- How to handle a voucher edit or rate correction that changes what a closed pay run should have paid.
Find statements that need an answer
A closed pay statement keeps its figures. When one of these changes what it should pay, Fluent records the difference on the statement and waits for an Owner or Admin to answer:
- Voucher edit: an edited voucher on one of the statement's appointments.
- Rate correction: a rate correction dated into the statement's period.
- Late work: a voucher completed after the close. It shows on the statement as Late work, and you answer it on the same strip.
- Go to Billing › Payments.
- Click the Filters icon above the Pay runs table.
- In Status, select Needs a correction decision.
- Click Apply.
- Click a run.
- Click the payee whose Status shows an amount to answer, such as "Voucher changed · +$12.50 to answer".
The payee's pay statement opens. A strip at the top reads "This statement now pays +$12.50 differently", with how many appointments changed and why, and the answers you can pick.
When a rate correction you save reaches a closed pay run, the dialog after the save says how many closed pay runs need a decision.
- Review the N: opens this list with the filter already set.
- Later: you answer them another time.
Choose an answer
Pick 1 of 3 answers on the strip. Each answer covers every difference on the statement at once.
| Answer | What it does | The closed statement | When you can use it |
|---|---|---|---|
| Revise statement | Re-prices at today's rates and vouchers | Goes back to review | Only while the run is Closed |
| Correction statement | Adds the difference to an open pay run | Keeps its figures | Any time the strip shows |
| Keep as is | Pays or takes back nothing | Keeps its figures | Any time the strip shows |
Revise the statement
Revise when the run hasn't gone to payout and the closed statement itself should pay the right amount. Only this payee's statement re-prices, and the rest of the run stays closed.
- On the strip, click Revise statement.
- In Reason, enter why you're revising. The reason shows in the statement's activity.
- Click Revise. The run reads In review again.
- Go to Billing › Review.
- In the runs index, click Pay runs.
- Click the run.
- Approve the payee's re-priced earnings.
- Click Close pay run, then click Close pay run in the dialog.
The statement reads Closed with its new figures, and the run can go to payout. See Review and close a pay run for approving and closing.
Issue a correction statement
A correction statement pays the difference with the payee's next pay. Use it once the run has gone to payout, or whenever the closed run should stay exactly as paid.
- On the strip, click Correction statement.
- In the dialog, click Issue correction statement.
Fluent shows "Correction statement issued on the current open run" with the amount. In Billing › Review, the payee's open pay run now has a row reading "Correction statement · corrects PR-42".
Fluent approves the row's lines for you, and the difference is paid with that run. Open the row to check the figures:
- Restated: what the appointments pay today.
- Previously paid: what the closed run paid.
- Difference: what the payee gets on the new run.
If one of its earnings changes again before that run closes, the row asks you to approve it again.
Keep the statement as is
Keep as is when you don't want to pay or take back the difference. Nothing on the closed run changes.
- On the strip, click Keep as is.
- In the dialog, click Keep as is.
Fluent shows "Kept as is", and each changed line reads "kept as is". If the voucher or the rates change again, the statement asks again.
Where a correction shows
After a correction statement, the closed run and the paying run point to each other.
- Billing › Payments: The closed run's payee reads "Corrected on PR-50", and the paying run's payee reads "Corrects PR-42".
- Pay statement: The paying run's statement has a section for each correction statement, listing the restated appointments and what the closed run paid. The interpreter sees the same section. See Your payment statements.
- Pay summary export: The difference has its own Corrections column. See Export pay statements.
Rules and limits
- A difference can be negative. A correction statement then lowers the payee's next pay by that amount.
- A correction statement goes on the payee's pay run for the current period, or the first later period where their statement isn't closed. Fluent creates that run if it doesn't exist.
- You can't undo an answer on screen.
- Fluent doesn't notify the interpreter when you answer. The payee's pay summary email goes out when you mark the paying run paid.
Troubleshooting
Revise statement isn't on the strip
Revise statement shows only while the run is Closed. The run is still In review, or someone sent it to payout, so it's Processing or Paid.
Use Correction statement or Keep as is.
Revise says the difference was already answered
The message says the pay run "already answered the difference" on an appointment. Someone already corrected or kept an earlier difference on this statement, so revising would pay it twice.
Use Correction statement or Keep as is.
A correction statement can't restate the appointment
The message says the pay run "cannot restate the corrected appointment yet". Fluent can't price the appointment on the open pay run.
Check that the interpreter's rate card covers the appointment's date, then answer again. See Fix Missing rates.
