Setting availability
Set your weekly availability and time off so your agency knows when to offer you appointments.
AT A GLANCE
- Availability lives on your profile. Tap the profile circle in the top right of the app to get there.
- Two things to manage: your weekly availability (your general Sunday-to-Saturday schedule) and time off (specific dates or date ranges that override it).
- Time off overrides availability. If your weekly schedule says you’re available Tuesday but you’ve added time off for that day, schedulers see you as unavailable.
- Schedulers can still offer you appointments outside your stated availability — it’s a guide, not a hard block.
Where availability lives
Tap the profile circle in the top right of the top nav bar to open your interpreter profile. You’ll see two tiles for managing your schedule:
- Availability — your weekly schedule, day by day.
- Time off — specific dates or date ranges when you’re unavailable, regardless of your weekly schedule.
The availability tile shows your current weekly schedule at a glance, with the time blocks for each day and a summary of your total available hours per week. Days you’ve marked as unavailable show “Unavailable.”
Setting your weekly availability
Tap Edit hours on the Availability tile to open the editor.
The editor shows a vertical list of days from Sunday to Saturday. For each day, you can:
- Set start and end times for one or more time blocks. For example: 8 AM to 12 PM, and then 3 PM to 7 PM if you take a midday break.
- Add additional time blocks if your day has multiple windows of availability.
- Toggle “All day” to set yourself as available from 12:00 AM to 11:59 PM — useful if you take offers at any hour.
- Toggle the day off if you don’t work that day. Days have to be explicitly toggled off — leaving them without time blocks won’t mark them as unavailable.
- Copy times to other days when your schedule is the same across multiple weekdays, so you don’t have to enter the same hours repeatedly.
Each day supports up to five time blocks, which is more than enough for any realistic schedule.
Save your changes, and your scheduling team will see the updated availability the next time they offer appointments. They’ll also receive a notification that your availability changed.
Schedulers can still offer you appointments outside your stated availability. Fluent doesn’t hard-block out-of-availability offers — your weekly availability is a strong signal to the scheduling team, but they may reach out to you about appointments outside those hours if they think you’d be a good fit. You can always decline.
Adding time off
Time off overrides your weekly availability for specific dates or date ranges. This is what you use when you’re on vacation, sick, or otherwise unavailable on a one-off basis.
Tap Time off on your profile to open the time off page. You’ll see a list of any upcoming time off entries, and a button to add a new one.
When you add a time off entry, you can specify:
- A specific date with specific times — e.g., May 12 from 8 AM to 5 PM.
- A specific date all day — e.g., all of May 12.
- A date range all day — e.g., May 12 through May 17.
- A date range with specific start and end times — e.g., May 12 at 5 PM through May 17 at 5 PM.
Once saved, your time off will show on the time off tile and your agency will be notified. Schedulers see you as unavailable in Fluent during the time off period, even if your weekly availability says otherwise.
Availability reminders
Your agency wants your availability to stay current so they can offer you the right work. A few things happen to keep it that way:
- Monthly reminder. You’ll get an email reminder once a month to review and update your availability if anything’s changed.
- Agency-requested review. A scheduler can send you an availability review request at any time. You’ll get it as an email and a mobile notification, and the email has buttons to either edit your availability or confirm it’s the same.
- Update notifications to your agency. When you update your availability or add time off, your scheduling team is notified. This keeps them in the loop so they can adjust their planning.
Keeping availability current is one of the most useful things you can do for your scheduling relationship.
Editing on the web
You can also edit your availability and time off in the Fluent web app, with the same fields and behavior. This article covers the mobile experience, but if you prefer working on a larger screen, the web app works the same way.
