Managing team members
How to invite, deactivate, and manage team members in your workspace.

- Team member limits depend on your plan: Free (1), Agency (4), Agency Multi-Office (unlimited).

- The team table shows active and invited users by default — use filters to see deactivated or revoked users.
Team members vs. interpreters
Team members and interpreters serve different roles in Fluent and are managed in separate tables on the Teams page.
Team members are your internal staff — schedulers, managers, admins, and owners who manage appointments, customers, and operations. Team members can also be interpreters if they have a language pair assigned to their profile.
Interpreters are the people assigned to appointments. They can view only the appointments assigned to them and use the mobile app to check in, track time, and submit vouchers.
Team member limits
Your plan determines how many team members you can have:
- Free — 1 team member (the account creator)
- Agency — Up to 4 team members
- Agency Multi-Office — Unlimited team members
If you’ve reached your limit, Fluent will let you know how many seats are available and prompt you to upgrade. Interpreters are unlimited on all plans.
Inviting a team member
Go to Team → Team Members and click + in the top right. Enter their name, assign a role, and select which team(s) they should have access to.
If the team member also interprets, add a language pair to their profile — this is what makes them assignable to appointments as an interpreter.
The invited user will receive an email to create their account.
Inviting an interpreter
Go to Team → Interpreters and click + in the top right. Enter their name, email, and at least one language pair.
Once invited, an interpreter can be assigned to appointments right away — even before they accept their invitation and create their account. This is useful when customers need to know who their interpreter will be and you can’t wait for someone to sign up.
Team member statuses
- Active — The user accepted their invite and can sign in.
- Invited — The user has been invited but hasn’t created their account yet.
- Revoked — The invite was revoked before the user accepted it — they can no longer redeem it.
- Deactivated — The user’s account has been disabled and they can no longer sign in to Fluent.
Revoking an invite
If a user hasn’t accepted their invite yet, you can revoke it. Open the ··· menu at the end of their row in the team table and select Revoke invite. They will no longer be able to redeem the invitation link.
Deactivating a user
If a user has already accepted their invite and has an active account, you can deactivate them. Open the ··· menu at the end of their row and select Deactivate. They will no longer be able to sign in to Fluent.
Reactivating a user
Deactivated and revoked users are hidden from the team table by default. To find them, open the filter menu and filter by Deactivated or Revoked status. From there you can reactivate them using the ··· menu on their row.
