Change your plan
Upgrade or downgrade your Fluent plan, switch between Monthly and Annual, and choose who keeps access when you move to a smaller plan.
What you'll learn
- How to upgrade or downgrade your plan as your team grows or shrinks, and choose who keeps access.
- How to switch between paying monthly and paying yearly.
Before you start
- Your agency needs an address, because Fluent adds tax to every charge. You add it in Edit Agency, as in Agency settings. If it's missing, Manage Subscription says "Add your agency's address to change plans." and offers Add address.
Upgrade your plan
Only your agency's Owner can change the plan. Upgrade when you need more team members or more than 1 team.
- Go to Settings › Subscription and click Manage Subscription.
- Select Monthly or Annual.
- Click the plan you want, then click Next.
- Check the review. "Due today" is the prorated charge for the rest of this billing period, and "Your new plan going forward" is what you pay after that.
- Click Confirm upgrade.
- On a paid plan: The new plan's features are on as soon as you confirm. Fluent charges your payment method the difference for the rest of this billing period, and emails you "Your Fluent plan has been updated".
- During the Free Trial: The review says "No charge until your trial ends", with the date, and the button is Confirm plan change. Fluent charges nothing until the trial ends.
Downgrade your plan
A downgrade waits for the end of your billing period, so you keep your current plan until then. If the smaller plan allows fewer team members than you have, choose who keeps access.
- Go to Settings › Subscription and click Manage Subscription.
- Click the smaller plan, then click Next.
- If you have more teams than the plan allows, the dialog shows Select team to keep. Select 1 team and click Next.
- If you have more team members than the plan allows, the dialog shows Select team members to keep. Select the people who keep access. The Owner is always kept and counts as 1 of them. Click Next.
- Check the review. "Starting" shows the date the new plan begins, and "Your selections" lists who you kept.
- Click Confirm downgrade.
Settings › Subscription shows "Downgrading to" with the new plan and "Effective" with the date. Fluent emails you "Your Fluent plan is set to downgrade".
Until the date, everyone at your agency sees the Plan Change Scheduled banner. Team › Team Members and Settings › Teams list the team members and teams you didn't keep, and only you and your Admins see those names.
When your renewal payment goes through on that date, Fluent moves your agency to the new plan.
- Team members you didn't keep: Fluent deactivates them, so they can't sign in to Fluent.
- Pending invites you didn't keep: Fluent revokes them.
- Teams you didn't keep: Fluent deactivates them.
- Bring someone back later: Go to Team › Team Members, open the ⋯ menu at the end of their row, and click Reactivate. If your plan is full, upgrade first.
- Stay on your current plan: Click Cancel change on the "Downgrading to" tile before the date.
- Keep different team members: Cancel the change and schedule the downgrade again. Trials, cancellation and reactivation has the steps.
Important: During the Free Trial, a downgrade starts as soon as you confirm, and Fluent doesn't deactivate anyone. Deactivate the extra team members yourself in Team › Team Members.
Switch between Monthly and Annual
Keep your plan and change how often you pay. Prices are in Plans and your subscription.
- Go to Settings › Subscription and click Manage Subscription.
- Select Annual or Monthly.
- Click your current plan, then click Next.
- Check the review and click the confirm button.
- Monthly to Annual: The button is Confirm with the amount. Fluent credits the unused part of your month, charges the annual price today, and emails you "Your Fluent plan has been updated".
- Annual to Monthly: The button is Confirm billing change. Your annual plan continues through its end date, then monthly billing starts.
- While the switch to Monthly waits: Settings › Subscription shows "Downgrading to" with your plan and Monthly, and Fluent emails you "Your Fluent plan is set to downgrade".
- $50 or less of your annual time left: The switch to Monthly starts right away instead.
Rules and limits
- Every team member is a seat, the Owner and Admins included, and pending invites count. Interpreters never count.
- Fluent compares plans by their monthly price, so Agency on Annual to Agency Teams on Monthly is an upgrade and starts right away.
- From Agency on Annual to Agency Teams on Annual, Fluent credits the full Agency annual price, charges the Agency Teams annual price today, and starts a new billing year.
- From an annual plan to a higher plan on Monthly, Fluent charges nothing today. It turns your unused annual time into a credit that pays your next invoices until it runs out.
- After 3 plan changes in a day that start right away, Fluent blocks plan changes until the next day.
- Upgrading while a downgrade is scheduled cancels the downgrade.
- A team member you didn't keep who is also an interpreter can't sign in to the mobile app either, but stays on their appointments. Reassign their appointments before the downgrade date.
