Invite teammates to your Fluent workspace and assign the right role from day one.

Overview

Inviting users adds them to your workspace with a defined role. This is the cleanest way to onboard staff while keeping permissions controlled.

Before you start

  • Confirm the user’s correct email address.
  • Decide their role (use Roles overview + Permission matrix).
  • If your org uses SSO, confirm whether invites must match identity provider emails. [Confirm in product]

How it works

  • An invite sends a workspace access link to the user’s email.
  • The user accepts the invite and creates/signs into their account (or signs in via SSO). [Confirm in product]
  • Their role determines what they can access immediately.

How to invite a user

  1. Go to Workspace settingsTeam / Users. [Confirm in product]
  2. Select Invite user.
  3. Enter the user’s email address.
  4. Select a Role.
  5. (Optional) Add a note or department tag if supported. [Confirm in product]
  6. Click Send invite.

After the invite is sent

  • The user should receive an email within a few minutes.
  • If they belong to multiple workspaces, they may need to choose the workspace after sign-in. [Confirm in product]

Best practices

  • Use role-specific invites: Scheduler vs Billing vs Compliance.
  • Avoid inviting users with shared inboxes (hard to audit who did what).
  • Keep Owner/Admin roles limited.

Troubleshooting

Invite email not arriving

  • Confirm spelling of the email.
  • Ask the user to check spam/junk and company quarantine.
  • Resend the invite.
  • If you use strict email filtering, allowlist Fluent sending domains. [Confirm]

User accepted invite but can’t see what they need

  • Verify their role in Team / Users.
  • Compare expected access using the Permission matrix.
